How to save Microsoft PowerPoint Presentation as PDF files

If you want to share the presentation you have prepared with someone that does not have Microsoft PowerPoint, you can save the file as a PDF and then share it. You can even modify the way the slides will appear on the PDF. This is how to do it.

Save PowerPoint File as PDF

When you save a presentation on PowerPoint as a PDF file, the design, format, fonts and images of the presentation will not be altered. This gives users who do not have PowerPoint an ability to view the presentation, however they will not be able to edit it.

Open the presentation that you want saved as a  PDF, click the “File” tab and then select “Export” among the options in the left-hand panel that opens.

When you do that, you will be at the “Create PDF/XPS Document” tab. Next, select “Create PDF/XPS”.

A File Explorer window will pop up, once this happens, choose the location where you want the new file saved. Check and you’ll see that the “Save as type” is now PDF. If you want, you can even rename the file.

At the bottom-right of the window, you should also notice the “Optimize for” option.

Standard: A high-quality form of the document which you should consider using if you want to publish the presentation online or print.
Minimum Size: A low-quality form of the document that you can also publish online but it would be best when you want to send the document as an email attachment since the size of the file has been contracted.
You could also set precise options to modify how the file looks. If you want to do this, click the “Options” button under.

An “Options” window will pop up displaying a myriad of options you can select from. You can see things such as:

Range: Export all slides, the current slide, or a selection of slides from your presentation.

Publish Options: You can choose to export only comments, handouts, or outline view here by selecting the “Publish What” option. You’re also able to dictate how many slides appear on each page, flip the slides horizontally or vertically, or give the slides a frame.
Include Non-printing Information: Include document properties or structure tags.
PDF Options: Make the document PDF/_A compliant.
When you are done adjusting the options, click “OK”.

When you’re back at the File Explorer window, click “Publish”.

Now, you can share the PDF file.
